Online/Virtual Event Guide

When events cannot be held in person, Â鶹AV recommends online or virtual events, which can be organized using some of the resources here.

Creating an Event and Terminology

When creating an Event in Drupal, the user can choose a location. A selection has been added for "Online/Virtual Event." There is still a "Location Detail" field immediately following that can be used to add information about the platform, delivery, or format to be used for this event. Examples could include:

Webinar

A webinar usually signals an online event delivered to a large audience in which some sort of interactivity is possible, via asking questions or another device.

Stream or Livestream

A streaming event refers to the transmission and/or recording of a live event, often with zero or minimal audience interactivity.

Online/Virtual Meeting or Conferencing

This terminology signals a virtual event in which participants participate on more or less equal footing via videoconferencing software, audio conferencing, or online chat.

Facebook Live and Instagram Live

Facebook Live and Instagram Live are features specific to those social media platforms that allow users to stream live video with varying levels of audience interaction.

College Tools and Resources

Any questions about which tools to use should be referred to LITS and the Help Desk.

Supported options include:

  • . Web conferencing tool with additional features that make it easier to manage large collaborative meetings and collaborative meetings involving non-Bryn Mawr College people.
  • . Tool from Microsoft allowing synchronous communication, including chat and videoconferencing.

Important Virtual Event Information

  • Virtual public events now require EMS reservations.
  • Zoom events published to the College website should use registration or require authentication with a BMC or Tri-Co account to join. Zoom events with meeting IDs and passcodes cannot be published due to the risk of Zoom bombing, the unwanted intrusion of internet strangers who seek to wreak havoc on video-conference calls through offensive means.
